Administrative Assistant

Job Description

Department: Marketing and Development

Reports To: Chief Advancement Officer

Status: Full-time, non-exempt

Position Summary: The Administrative Assistant will provide support to the Chief Advancement Officer by running the day-to-day office operations. The perfect candidate will be able to monitor administrative projects and support the Marketing and Development department as needed.

Primary Responsibilities:

  • Work closely and effectively with the Chief Advancement Officer to keep the CAO well informed of upcoming commitments and responsibilities
  • Schedule and coordinate meetings, calendars, appointments, and travel arrangements for the Chief Advancement Officer
  • Answer telephone calls when the Chief Advancement Officer is in meetings or out of the office
  • Attend departmental meetings and record key points
  • Prepare and modify documents including correspondence, reports, drafts, memos, and emails
  • Answer inbound phone calls
  • General clerical duties including photocopying, faxing, and mailing
  • Resolve administrative problems and inquiries
  • Prepare agendas for meetings
  • Help CAO prepare for presentations
  • Assist with other related clerical duties as required by the team
  • Assist with ad-hoc projects depending on the needs of the Chief Advancement Officer
  • Perform related administrative and record keeping duties
  • Other duties as assigned by the CAO

Required Qualifications:

  • Bachelor’s degree required
  • 2-4 years previous experience in an office environment
  • Must have great follow-up skills
  • Must be proficient in Microsoft Office (Excel, PowerPoint, Word, etc.)
  • Excellent time management and multitasking skills
  • Ability to enter data efficiently, timely, and correctly in order to meet deadlines
  • Good planning and organizational skills
  • Well-developed verbal, listening, and written communications skills
  • Ability to work independently or as a team player
  • Attention to detail and a high level of accuracy and confidentiality
  • Ability to maintain a professional appearance and manner
  • Ability to contend with a wide variety of people on various issues
  • Ability to work in a busy office with constant interruptions
